Co-op management software

Your co-op, without the Sunday night panic.

Village OS runs the whole co-op — registration, fees, the schedule, attendance, grades — and every morning it tells the director exactly what is broken and who to call.

Built to run a real 501(c)(3) homeschool co-op. Still does.

You already have a system. It's just made of eleven different things.

  • The registration spreadsheet.
  • The fee tracker.
  • The volunteer sign-up sheet.
  • The allergy list taped inside a cabinet.
  • The group chat where the schedule change is buried.
  • The email thread about who is teaching third period.
  • And the evening you spend every August wondering what you forgot.

Three things nothing else does.

It tells you what is broken.

One screen, ranked by severity, computed from your live data — never a checklist someone has to maintain. Classes with no teacher. Families who never signed the handbook. Young classes with no assistant. Every item says what it means in plain English and links straight to the screen that fixes it.

It won't let the schedule lie.

A teacher in two rooms at once. A room booked twice. A class with more seats than the room has chairs. A grade band with nothing to join in third period. All caught before you publish the timetable — and checked again for the spring.

It guards children's records.

Allergies and medical authorisations on one printable sheet for the morning. Incident records visible to the director alone. Parents can only ever see their own family, and that is enforced in the database, not just hidden on the screen.

The screen you open first.

Most co-op software stores what you type into it. Village OS reads what you typed and tells you what is missing. Open it at eight in the morning with a phone in one hand and it will tell you the three things that will go wrong on Thursday if nobody does anything.

  • Counted, not guessed
  • Says what it means
  • Links to the fix
Blocking

Something families will run into on the day if nobody fixes it before then.

Needs attention

Not broken yet, but it will be if the week goes by untouched.

For information

Worth knowing when you have a quiet ten minutes. Nothing is on fire.

Five kinds of people, one system.

Your money and your data.

Your money never touches ours.

Payments go into your co-op's own Stripe account. We are not in the middle of it.

Your families are yours.

Parents see only their own family. Students never see money. Instructors see only the classes they teach. Enforced in the database, not just hidden on screen.

Your data comes home whenever you want it.

A full export, any time, in a standard format — written into the agreement, not just promised.

Two editions. One product.

Every piece of language in Village OS — your purpose statement, your honour code, your handbook and agreements — is yours to write. We just choose which set you start from.

Covenant

For faith-based co-ops. Ships with a Christian honour code, handbook and agreement language you can edit freely, and a purpose statement written for a church-hosted co-op.

Commons

For everyone else. Exactly the same software with no faith language anywhere.

Same features. Same price. Change your mind later and we switch the wording, not the software.

Ten business days from yes to open registration.

  1. 1

    We talk.

Twenty minutes. You tell us how registration works now and what keeps going wrong.

  2. 2

    We set it up.

Your name, your colours, your fee rules, your handbook language, your volunteer roles, your registration steps.

  3. 3

    Your money, your mail.

You connect your own Stripe account and authorise your co-op's sending address. We never hold your keys.

  4. 4

    We import what you have.

Send the spreadsheet you already keep. Families, students, courses and instructors go in — you don't retype anything.

  5. 5

    We train you.

Ninety minutes, recorded, ending on your own real data.

  6. 6

    You open registration.

Invitations go out to families and instructors. We hold office hours that week.

  7. 7

    We check back.

Thirty days later, and again before your next school year.

What it costs

One licence for the whole co-op, billed once a year — not per parent, not per child, not per class. The price depends on how many families you carry, so a small co-op is never paying for a big one. There is a one-time setup fee that covers importing your roster, configuring your rules and training your people. Most co-ops pay for it out of a single family's registration income. Tell us how many families you have and we will send you the number the same day.

We will reply within one business day with a price for your size and a link to see it running on your own roster. No sales calls unless you ask for one.
